- In this short demonstration will focus on Livelink’s workflow
facilities.
3
- Livelink offers a rich set of workflow tools designed to ease the
creation, deployment, modification, and management of business processes
4
- Livelink Workflow can be used to streamline internal processes such as
handling purchase orders and expenses, it can be used to accelerate the
selection of suppliers bidding against an RFP, to improve change
management processes or help to automate insurance claims.
5
- Livelink Workflow can also be used to to automate review and approval
processes for regulated documents, such as standard operative
procedures, financial statements, legal contracts and corporate records.
6
- Livelink Workflow involves three basic elements:
- Mapping the process
7
- The workflow painter is the tool that you use to create a map to
represent the flow of assignments and interactions for each of your
business processes.
8
- The workflow painter is easy to use and requires no programming
knowledge.

12
- The next stage of building a workflow is to add the instructions for
each step in the process.
13
- Now we add the business logic to the workflow map.
14
- When a workflow map is completed it becomes a new object stored in the
Livelink workspace.
- To initiate a workflow process all you have to do then is click on the
workflow title, follow the step instructions and then click the initiate
button.
15
- Workflow assignments are routed to each users’ Livelink inbox and
notification of pending or late tasks is also send out automatically via
e-mail.
- Clicking on the workflow assignment in your inbox or the link in the
e-mail notification message takes you immediately to the step
instructions.
16
- The step instructions tell you exactly what you are required to do to
complete your role in the workflow.
- In this example, the instructions tell us to review the purchase order
request.
- Let’s have a closer look…
17
- The navigator bar makes it a snap to access all the supporting
information for the work assignment.
- For example, you might want to see comments made by other reviewers and
of course you’ll need to examine the Purchase Requisition Form.
- To approve or reject the request, you simply choose the appropriate
disposition button.
18
- Workflows may also include
electronic forms within the instructions.
- Livelink eForms can be linked to external databases to collect and
process data from other applications. They can also be designed to
auto-populate fields and perform simple arithmetic calculations.
19
- Livelink includes facilities to monitor workflow processes and to
develop online reports.
- The Workflow Status page allows the workflow owner or a user with
sufficient rights in the system to monitor workflow processes.
- Color coding is used to quickly identify the workflow status.
20
- Opening the status window on a chosen workflow allows the user to delve
deeper.
- A number of options are available to closely examine the active
workflow…
21
- The workflow map view makes it easy to see which stage has been reached
in the workflow process – indicated by a green box over the current step
awaiting action.
22
- The audit window provides a detailed account of the progress to date;
when a workflow assignment was delivered for action, when a user began
working on each task and when it was completed and passed onto the next
step in the process.
23
- All the data captured by the workflow as it passes from step to step can
also be examined.
24
- Livelink provides a number of sample reports for workflow administration
and system monitoring.
- In addition to the reports delivered with the system, users can design
new LiveReports that relate to their specific needs.
